Treat the sample as a production control, not a formality
A print sample is the last practical checkpoint between an approved design and a full production run. Buyers often focus on whether the sample looks attractive, but approval should confirm much more: material, dimensions, color, copy, finishing, construction, variable information and the way the finished item will actually be used.
The safest approach is to review the sample against the written quotation or production specification. If the quotation says 350 GSM card with matte lamination and spot UV, the sample should be checked against those exact requirements. Approval should never rely only on memory or on a screenshot shared earlier in the project.
Confirm the physical specification first
Start with the measurable details: finished size, orientation, page count, material, GSM or board thickness where relevant, number of printed sides, binding or folding method, and any structural dimensions. For packaging, place the real product inside the sample if possible and check fit, closure, loading and opening rather than judging the box while it is empty.
Small specification differences can become expensive across a large quantity. A slightly wrong fold can shift brochure panels, an undersized pocket can make a presentation folder unusable, and an incorrect spine width can distort a book cover. Record any correction before approval instead of assuming production staff will notice it later.
Read every word and verify every number
Sample approval is not only a printer quality check; it is also the buyer's final content check. Read names, phone numbers, addresses, dates, URLs, prices, product codes, registration information, table values and legal or regulatory text carefully. Check front and back, inside panels, flaps, inserts and any areas that are easy to overlook.
For books, reports and catalogues, check page sequence, headings, captions, contents pages and key tables. For variable-data jobs such as ID cards, certificates or labels, review representative records and confirm that the data mapping is correct. A perfectly printed error is still an error once thousands of copies are produced.
Judge color under sensible viewing conditions
Printed color should be reviewed under neutral, reasonably consistent lighting rather than beside a bright phone or laptop screen. Screens emit light while print reflects it, so an on-screen design and a physical print will not look identical. Compare the sample with an approved physical reference when accurate brand-color matching is important.
Pay particular attention to corporate colors, skin tones, product photography, dark backgrounds, neutral grays and large flat areas. If the job uses Pantone or another specified spot color, confirm that the production method and sample are aligned with that requirement. Avoid approving color based only on a compressed photograph sent through messaging apps.
Check image quality, small text and fine details
Look at photographs and illustrations at normal viewing distance and then inspect critical areas more closely. Images should not appear unexpectedly soft, pixelated or over-dark. Fine lines, reversed white text, small type and thin borders should remain clear enough for the intended use.
Large-format graphics need a different review approach from business cards. A banner may be viewed from several meters away, while a label may contain small ingredients or instructions read at close range. Judge detail according to actual viewing conditions instead of applying one standard to every printed product.
Inspect finishing separately from the base print
Lamination, foil, spot UV, embossing, debossing, varnish, rounded corners, die cutting and other finishing processes should each be checked as separate production elements. Confirm placement, coverage, registration and consistency. A foil layer that is shifted by a few millimeters can be obvious even when the underlying print is correct.
Check whether lamination affects folding, whether embossed areas interfere with small text, and whether die-cut edges are clean and aligned to the artwork. For premium jobs, review how the finish behaves under normal handling because fingerprints, scuffing or cracking may matter more in use than they do on a freshly produced sample.
Test folds, binding, glue and structural performance
Open and close the sample. Fold it, stack it, write on it, insert the intended product, hang it, carry it or assemble it as the end user would. Brochures should fold in the correct sequence, books should open without obvious page loss or weak binding, and packaging should hold its shape without unreasonable stress at glue areas or locking tabs.
For bags, folders, boxes and displays, practical performance is part of approval. A visually correct sample can still fail if the handle position is uncomfortable, the pocket is too tight, the product rubs against a window, or a stand becomes unstable when assembled.
Scan every barcode and QR code on the physical sample
Any barcode or QR code should be tested after printing, not only from the artwork file. Scan from the physical sample using more than one common device where practical. Confirm that the code opens the correct destination or returns the correct product information and that no outdated test URL remains in the final artwork.
Also check contrast, clear space and placement. A code that scans while lying flat on a desk may behave differently when wrapped around a bottle, printed over a reflective finish or positioned close to a fold. Physical testing catches problems that cannot be confirmed from a PDF proof.
Review packing, bundling and identification for operational jobs
For business orders, approval should include how the finished products will be packed and identified. Multi-branch stationery, employee cards, certificates, event badges or versioned marketing materials may need separate bundles, labels or cartons so teams can distribute them without sorting everything again after delivery.
If the job has multiple versions, confirm the expected quantity for each version and how cartons or packs will be marked. Clear packing instructions reduce mix-ups and make receiving checks easier, especially when a single order contains similar-looking items for different departments, locations or campaigns.
Write corrections clearly and approve one final reference
Avoid vague feedback such as 'make the red better' or 'fix the spacing.' Mark corrections specifically, identify the page or panel, and state what should change. If several people are reviewing, consolidate comments into one controlled list so the supplier does not receive conflicting instructions from different stakeholders.
After corrections are completed, approve one clearly identified final sample or proof. Record the file version, sample date or reference number where useful. This gives both buyer and supplier a shared production reference and reduces arguments about which earlier draft was intended for mass production.
Use a repeatable sign-off checklist
A practical approval checklist should cover specification, dimensions, material, quantity breakdown, text, numbers, color, images, finishing, folds or binding, structural fit, barcodes or QR codes, version control, packing and delivery labeling. Add product-specific checks whenever the job has special risks.
Mass-production approval should be deliberate. If something is uncertain, pause and resolve it before signing off. The cost of one additional correction cycle is usually easier to manage than replacing a completed production run because an avoidable issue was approved at sample stage.
