Start with the product before discussing visual style

A useful packaging brief begins with the physical product, not with a mood board. Tell the designer exactly what is being packed, including dimensions, weight, shape, fragility, orientation, temperature sensitivity, moisture or oil exposure and whether the product has any parts that need separate protection. These facts affect structure, panel space and the kind of material or closure that may be practical.

Also explain how the product is sold and handled. Packaging for a retail shelf, courier shipment, restaurant takeaway, subscription delivery or corporate gift can have very different priorities. The designer needs to understand the complete journey from packing and storage to transport, display and final customer use before deciding how the artwork should behave.

Provide final dimensions or an approved dieline whenever possible

Packaging artwork should be built on a real production structure. If a printer, converter or packaging supplier has already created a dieline, send the latest approved vector file and identify which version is current. The dieline should clearly show cut lines, fold lines, glue areas, windows, perforations and any panels that disappear during assembly.

If no dieline exists yet, give the designer accurate product measurements and explain the required packaging format so structural development can happen before detailed artwork. Avoid asking for finished graphics on guessed dimensions, because even a small structural change can move text, barcodes, logos and visual elements across folds or trim edges and create avoidable rework.

List every piece of mandatory copy before layout begins

Collect all text that must appear on the pack in one approved source. Depending on the product, this might include the product name, variant, net weight, ingredients, usage instructions, warnings, manufacturer or importer details, contact information, legal statements, recycling marks, batch fields or storage instructions. Designers should not have to reconstruct mandatory copy from screenshots, chat messages and older packaging files.

Mark which text is legally or operationally fixed and which copy can be edited for clarity. If different departments must approve different sections, identify those owners early. Packaging projects slow down when final artwork is repeatedly reopened because required text was discovered late or because several conflicting versions were circulating.

Separate confirmed content from placeholder content

If some information is still pending, label it clearly as a placeholder. This can include a final barcode, license number, flavor name, certification mark, importer address, campaign message or translated copy. The designer can reserve appropriate space without treating temporary content as approved production information.

Maintain a simple content-status list showing what is final, what is awaiting approval and who owns each missing item. This helps the team understand whether a design review is about visual direction or whether the artwork is actually ready for production. A polished mockup should never be mistaken for a press-ready pack when critical information is still unresolved.

Supply the brand assets in production-ready formats

Send the current logo in vector format where available, along with approved color references, typography rules, icon sets, photography guidance and any packaging-specific brand rules. If the business has several logo versions, explain which one should be primary and which variants are approved for small sizes, dark backgrounds or one-color reproduction.

Do not make the designer extract logos from websites, social posts or low-resolution PDFs if proper assets exist. Packaging is often printed at high resolution and may use spot colors, foil, embossing or other processes that require clean vector artwork. A well-organized asset package reduces substitution, redrawing and accidental use of outdated brand elements.

Explain the packaging hierarchy and the buying decision

Tell the designer what a customer should notice first, second and third. The product name may lead on one pack, while the brand, flavor, benefit, quantity or category descriptor may lead on another. This hierarchy should reflect how the product is actually chosen rather than giving every piece of information equal visual weight.

Describe where the pack will be seen and how quickly the customer needs to understand it. A product competing on a crowded shelf needs clear front-panel recognition, while a direct-to-customer mailer may have more room for storytelling. Giving the designer the intended decision path produces a stronger layout than simply asking for a design that looks premium or modern.

Share the product range, not only the first SKU

If the packaging will eventually cover several sizes, flavors, colors or product variants, provide that range at the beginning even if only one SKU is being designed first. A design that works beautifully for a short product name can break when a later variant has a longer name, additional claims or different regulatory information.

Explain which elements remain fixed and which elements change between SKUs. The designer can then create a controlled system for color coding, variant labels, product imagery and information hierarchy. Designing the first pack as part of a family is usually more efficient than trying to retrofit consistency after several independent packs have already been produced.

Describe the intended material and printing process

Artwork behaves differently on coated paperboard, kraft stock, corrugated board, flexible packaging, labels, transparent films and other substrates. If the supplier or material is already chosen, include that information in the brief. Surface color, texture, absorbency and opacity can all affect how colors, fine details and photographic images reproduce.

Also note any known production method or limitations. Offset, digital, flexographic, screen and other printing processes have different practical constraints. The designer does not need to operate the press, but they do need enough production context to avoid artwork that depends on effects the selected process or substrate cannot reproduce reliably.

Define finishing effects as production requirements, not decoration

If the project may use lamination, foil, embossing, debossing, spot UV, varnish, metallic ink, windows or specialty coatings, identify those expectations in the brief and explain why they matter. A finishing effect that highlights the brand name has different artwork requirements from one used to protect the whole surface.

Ask the production supplier what separate layers, spot colors, minimum line weights or clearances are required before final artwork is built. Good packaging design uses finishing intentionally and prepares it technically. Adding an effect at the last minute can create registration problems, extra cost and changes to the approved visual hierarchy.

Provide barcode, QR and variable-data requirements early

Barcodes and QR codes need more than an empty square in the layout. Tell the designer what code type is required, whether the final code already exists, whether several SKUs use different codes and whether any variable fields such as batch numbers, dates or serial numbers will be applied later during production.

Leave sufficient quiet space and contrast around machine-readable codes, and avoid placing them across folds, seams or highly reflective finishing where scanning may become unreliable. Final production files should use real codes rather than decorative placeholders, and important QR destinations should be tested before mass printing.

Include real competitor and category references with comments

Reference images are useful when they communicate a specific observation. Instead of sending a folder of attractive packs with no explanation, note what you like or dislike about each example: information hierarchy, color blocking, photography, simplicity, material feel, opening experience or shelf recognition.

Competitor references are equally useful for understanding category conventions and avoiding accidental imitation. The goal is not to copy another pack but to understand what customers already recognize, where the category is visually crowded and where the brand can create a distinct but still understandable presence.

Explain practical packing, storage and transport constraints

The design team should know how packaging will be filled, closed, stacked, stored and transported. Staff may need a clear orientation mark, the pack may require a label after filling, or a panel may regularly rub against another surface in transit. These operational details can influence where important graphics and instructions should be placed.

For ecommerce or export use, shipping labels, carton markings and secondary packaging may also need consideration. A design is more successful when it works through the full operating process instead of looking correct only as an isolated 3D mockup.

Define the approval process and decision makers

Name the person who can make final decisions and identify anyone who must review legal, regulatory, production or brand details. Too many unstructured reviewers can create contradictory feedback, especially when comments arrive through separate messages instead of one consolidated approval round.

Set expectations for concept review, content review, prepress review and final production approval. These are different stages. A concept may be visually approved while copy is still changing, and a final print file may still require a technical supplier check. Clear approval stages reduce the risk of someone treating an early mockup as the final production file.

Give the designer the production contact when technical answers matter

When packaging involves a custom dieline, specialty material or finishing process, direct communication between the designer and production supplier can prevent errors. The supplier can confirm bleed, trapping, spot-color naming, minimum strokes, overprint behavior, foil layers, window clearances and other technical requirements that may not be obvious from a generic template.

This does not remove the client's responsibility to approve content and appearance. It simply ensures that technical questions are answered by the people who understand the actual production setup rather than being guessed during artwork preparation.

Request the right final files and keep an editable master

Agree in advance on the final deliverables. A typical handoff may include a press-ready PDF, editable source artwork, linked or embedded image assets, clearly named finishing layers and a reference preview. The exact package should follow the production supplier's requirements and the scope agreed with the designer.

Keep an organized editable master internally even after production is complete. Future price changes, regulatory updates, new variants or supplier changes are much easier when the business can return to a clean approved source file instead of rebuilding the pack from a flattened PDF or scanned sample.

Use a packaging brief that can survive the next revision

The best brief becomes a working record rather than a one-time message. Keep product facts, final copy, dielines, brand assets, references, material decisions, finishing notes, approvals and supplier specifications together in a controlled project folder. Use clear filenames and dates so the team can identify the latest approved version quickly.

A strong packaging brief saves design time, reduces production risk and makes future SKUs easier to develop. The goal is not to overwhelm the designer with paperwork; it is to give them the information needed to make visual decisions that are accurate, scalable and ready for the real production environment.
