Start with where the table tent will actually sit

A table tent is a small-format display, but its effectiveness depends heavily on placement. A restaurant table, hotel bedside, reception desk, exhibition counter and checkout area all have different viewing distances, available footprints and handling conditions.

Before choosing a size, measure the available surface and decide whether people will read it while seated, standing or walking past. A tall narrow tent may work well for a QR menu on a café table, while a wider format can be better for offers, room information or counter promotions that need more text and imagery.

Finished size and flat artwork size are not the same thing

Table tents are folded structures. The finished standing size describes what the customer sees, while the print file may include two display panels plus a base, overlap, locking flap or adhesive area. Ordering only by the visible face size can create confusion when artwork is prepared.

Ask for the approved dieline or flat dimensions before final artwork. Keep logos, prices, QR codes and important copy inside each panel's safe area and away from folds, glue zones and locking tabs. If the tent has different content on each side, label the panel order clearly so one face does not end up upside down after folding.

Choose a structure that will stay standing

The simplest table tents use a triangular profile with an overlapping or joined base. Others use interlocking tabs, taped bases or more complex die-cut structures. The right choice depends on quantity, card thickness, expected reuse and how quickly staff need to assemble them.

Stability matters more than decorative complexity. A narrow base, lightweight stock or top-heavy design can cause the display to collapse or tip when customers touch it or when air moves through a venue. For custom shapes or unusually tall formats, request a blank structural sample before printing a large run.

Paper and GSM should match handling and lifespan

Rigid card stock is normally more suitable than ordinary flyer paper because the finished piece has to support itself. Around 300–350 GSM card is common for many applications, but the exact stock should follow the size, fold pattern, finish and expected handling.

Restaurants and frequently handled environments may benefit from a more durable coated stock and lamination. For short events or low-contact displays, a simpler card can be sufficient. Do not select GSM in isolation: grain direction, creasing quality and lamination can all affect whether a thick card folds cleanly without cracking.

Use lamination and finishing for a purpose

Matte or gloss lamination can improve resistance to handling, splashes and surface scuffing while changing the visual character of the piece. Matte tends to reduce glare and fingerprints; gloss can make colors feel more vivid. Premium finishes such as foil or spot UV can be useful for hospitality or launch displays when the design supports them.

Finishing also changes production behavior. Heavy lamination can make folds spring open if the piece is not properly creased, and decorative effects need extra safe area and registration tolerance. Confirm finishing before the dieline and artwork are considered final.

QR codes need real-world scan testing

Table tents are often used for digital menus, payment links, Wi-Fi access, reviews, registration forms and campaign landing pages. Because the code is functional, it should be treated as more than a graphic element. Keep strong contrast, preserve the quiet zone and avoid placing the code across a fold or too close to the base.

Test the final printed-size artwork on several phones before production. Consider the typical scan distance and table lighting, and verify the destination URL carefully. If the link may change later, use a managed redirect or dynamic QR system rather than printing a temporary destination that cannot be updated.

Design for fast reading on both faces

Most people give a table display only a few seconds of attention. Lead with one clear message: an offer, menu action, event instruction, Wi-Fi prompt or call to scan. Small paragraphs, multiple competing promotions and low-contrast text reduce usefulness even when the print quality is excellent.

Treat each face as its own communication surface. One side can carry the primary offer while the other provides supporting information, a second language or a QR call to action. Keep prices, dates and campaign conditions easy to update in the source file so repeat orders do not accidentally reuse expired information.

Proof the assembled object, not only the flat PDF

A flat digital proof can confirm text and color content but cannot fully show whether the finished object stands correctly, whether panel orientation feels natural or whether important elements sit too close to a crease. For new structures, a physical mockup is much more useful.

Print a rough office sample at actual size or request a production prototype for complex jobs. Fold it, place it on the intended table or counter, scan the QR code and view it from the normal customer angle. This simple step catches many problems before the full run is printed and assembled.

What to send for a useful quotation

Provide the finished standing size, quantity, intended location, expected duration of use, preferred stock or durability requirement, single- or double-sided content, lamination or special finishing, QR requirements, artwork status and delivery deadline. If you already have a dieline, include it with the artwork.

If you are unsure about structure, send a reference photo and explain how the tent will be used rather than guessing the technical specification. That gives the production team enough context to recommend a practical card, base construction and finishing combination instead of quoting a visually similar but structurally unsuitable item.
