Plan the catalogue around the sales journey before choosing paper
A catalogue works best when its structure helps a buyer move from discovery to comparison and then to action. Start by grouping products into clear families, deciding what information must appear consistently for every item, and identifying which products deserve more space. A catalogue that simply mirrors an internal SKU list can become difficult for customers to browse.
Decide whether the catalogue is primarily for field sales, retail counters, trade shows, distributors or direct customer use. That decision affects size, page count, durability and how much detail belongs on each page. If salespeople will carry it every day, portability may matter more than a large luxury format.
Control page count early because binding and cost depend on it
Page count is not only an editorial decision. Saddle-stitched catalogues are produced from folded sheets, so the final page count normally follows multiples of four. Perfect-bound catalogues need enough spine thickness to bind reliably, which depends on both page count and paper thickness.
Build a pagination plan before final design. Reserve pages for covers, contents, category dividers, product sections, terms and contact information, then check whether the planned binding still suits the finished thickness. Changing page count late can force unnecessary redesign and quotation changes.
Choose paper for handling, image quality and total weight
Coated art paper is common for product catalogues because photographs, gradients and brand colors reproduce well. Uncoated or premium textured stocks can create a different tactile feel, but they may change image contrast and make dense product photography appear softer. The right stock depends on the content and how the catalogue will be used.
Do not select GSM in isolation. A high page count combined with heavy paper can create a bulky, expensive catalogue that is inconvenient to carry or courier. For long catalogues, a lighter inside stock with a stronger cover often produces a better balance between durability, appearance and shipping weight.
Use a stronger cover and finish only where it adds value
The cover receives the most handling, so it is usually produced on heavier stock than the inside pages. Matte or gloss lamination can improve scuff resistance and change the visual character of the catalogue. Spot UV, foil or embossing can add emphasis to selected cover elements, but they should support the brand rather than make the cover unnecessarily busy.
If the catalogue will be used repeatedly by sales teams or displayed in showrooms, cover durability matters more than decorative finishing alone. Ask how the catalogue will be packed, transported and stored before deciding whether premium finishing is worth the additional production step.
Match the binding method to page count and usage
Saddle stitching is efficient for thinner catalogues and allows pages to open relatively flat, but it has practical thickness limits. Perfect binding creates a square spine and book-like appearance for larger catalogues, while wire or spiral binding can be useful for technical catalogues that need to stay open during reference.
Do not choose binding from appearance alone. Consider page count, paper thickness, how frequently users will open the catalogue, whether spine text is needed and how the piece must pack for delivery. Your printer should confirm the binding method after reviewing the final pagination and stock combination.
Treat product photography as production content, not decoration
Product images often carry more sales value than decorative graphics. Use consistent backgrounds, crop styles and viewing angles where possible so customers can compare products quickly. Low-resolution marketplace images, screenshots and compressed messaging-app files can become visibly weak in print.
Prepare images at an appropriate effective resolution for their final placed size and keep original high-quality files available. If products require accurate material, finish or color representation, request a printed proof because a phone or monitor cannot reliably predict every printed result.
Build specifications and prices so updates do not create chaos
Catalogues often become outdated because product specifications, SKUs or prices change after printing. Separate relatively stable product information from rapidly changing commercial data where possible. Some businesses keep prices in a separate insert, QR-linked price list or digital companion so the main printed catalogue remains useful longer.
Use a structured source of truth for names, codes, dimensions and features before layout begins. Spelling variants and conflicting specifications are harder to catch once hundreds of fields are distributed across many pages. Assign one person to approve final commercial data before print release.
Design tables and technical information for actual readability
Dense specification tables can become unreadable when designers reduce type size to fit too much information. Decide which attributes customers actually need for comparison and use a consistent table hierarchy. Keep sufficient contrast, row spacing and column width for the final physical page size.
If the catalogue includes dimensions, compatibility notes, model codes or regulatory information, proof those sections separately from marketing copy. A visually attractive catalogue can still fail its purpose if customers cannot confidently identify the correct product or variation.
Proof color, pagination and version control before the full run
A final proof should check more than spelling. Verify front and back covers, page sequence, blank pages, cross-references, product codes, contact details, QR destinations and image placement. Confirm that crop marks, bleed and safe margins follow the printer's specification and that no critical text sits too close to trimming or binding areas.
For color-sensitive brands or products, request an appropriate physical proof or press check. Keep one clearly named approved PDF as the production master so old drafts cannot accidentally return to the workflow when multiple staff or agencies are involved.
Plan quantity around sales cycles, not only unit price
A larger print run can reduce unit cost, but excess catalogues become waste if product lines, prices or branding change. Estimate how many copies salespeople, branches, dealers, exhibitions and customer mail-outs will realistically use before the next planned update.
For fast-changing catalogues, shorter digital runs can reduce obsolete stock. For stable catalogues with higher demand, offset printing may provide better economics at scale. Compare total usable cost rather than selecting the lowest unit price without considering update frequency and storage.

Provide the finished size, total page count including covers, quantity, color requirement, preferred inside and cover paper if known, binding method, finishing requirements, artwork status, delivery deadline and delivery locations.
